Privacy Policy
Effective October 29, 2026 · True Presence, Inc., doing business as Presence+
This policy explains what information Presence+ collects, why, who sees it, and the choices you have. It covers the Presence+ app, Raphael, Midst, the Emmaus learning platform, and the websites at presenceplus.org, presence.plus and midst.presenceplus.org (together, the "Services"). The Services are provided by True Presence, Inc., an Arizona nonprofit corporation doing business as Presence+ ("we," "us"). The software is built and operated for us by Mindspirit LLC, which acts as our service provider and is bound by this policy and by a written agreement with us.
Presence+ exists to connect people who want help with people willing to help them, inside communities they already belong to. That means some of what you share with us is personal and some of it is sensitive. We have written this policy to be read, and we have tried to keep the promises in it plain.
What we collect
Account information. Your name, email address, phone number if you give it, a password or sign-in token, and the community or organization you belong to.
Profile and relationships. What you tell us about yourself, the groups and ministries you are part of, the people you help and the people who help you, and the roles you hold in a community (for example, companion, listener, group leader).
What you write and record. Messages you send through the Services, journal entries, notes, goals you set (including WOOP goal-setting entries), responses in courses, and, where you choose to use them, recordings or transcripts of calls made through the Services.
Outcome measures. If you use the Services with a helper, you may be asked short questions after a conversation about how you are doing and how the relationship is going (the Outcome Rating Scale, Session Rating Scale and related measures, used under license from Better Outcomes Now). Your answers are personal information about your wellbeing. They are collected only when you answer them.
Requests for help. If you ask for help through the Services, we collect what you tell us about your situation so that a coordinator in your community can respond and match you with a helper.
Payments. If you buy a course or pay for a service, our payment processor (Stripe) collects your card details directly. We receive a record of the transaction, not your card number.
Device and usage information. The kind of device and browser you use, your IP address, approximate location derived from it, the pages and screens you open, and crash and performance data. We use PostHog for product analytics; it is configured to identify a person only after they sign in, and we do not sell this data.
Information from your community. A church, campus, diocese or other organization that uses the Services may add you as a member and record your participation in its ministries. That organization decides what it records about you and is responsible for telling you so.
How we use it
We use personal information to run the Services: to create and secure your account, to connect you with a community and with helpers, to deliver courses and content, to send the messages and notifications you have asked for, to process payments, and to answer your requests. We use outcome measures to show you and your helper how things are going and to let a coordinator see when someone needs a different kind of help. We use usage data to keep the Services working, to understand which features help, and to improve them. We use information to meet legal obligations and to protect people, including responding to a safety concern.
Artificial intelligence. Some features use AI models (provided by Anthropic and similar providers) to transcribe calls, summarize notes for you, suggest resources, or help a helper prepare. When a feature uses AI, the Service says so. Your information is sent to the provider only to perform that feature, under terms that prohibit the provider from using it to train their models, and it is not used to make automated decisions about you that have legal or similar effects.
Research. We may use information that has been de-identified, so that it no longer identifies you, to study whether the Services help people and to publish what we learn. We do not re-identify such data.
Who can see it
The Services are built around consent on each relationship. What you share with a particular helper is visible to that helper. A community coordinator can see that you asked for help, who you are matched with, and the outcome measures needed to decide the next step, so that no one is left without help. Leaders of a group you belong to can see that you belong to it. Your journal entries are visible only to you unless you choose to share an entry with a helper. The Services show you, on each screen, who can see what.
We share personal information with service providers that help us run the Services, bound by contract to use it only for that purpose: Mindspirit LLC (operation of the software), Supabase (database and storage), Vercel (hosting), Stripe (payments), Twilio and our email provider (messages), Apple and Google (push notifications), LiveKit and Deepgram (calls and transcription), Anthropic (AI features), Sanity (course content) and PostHog (analytics).
If you are referred to a licensed clinician through the Services, the clinician's practice keeps its own records in its own system (for example Mindspirit, operated by Mindspirit LLC) under its own privacy notice and the health-privacy laws that apply to it. We share with the clinician only what you have agreed to share.
We will disclose information when the law requires it, to respond to lawful requests, to protect the rights, property or safety of a person, or in connection with a merger or transfer of the organization, in which case this policy continues to apply. We do not sell personal information and we do not share it for advertising.
Safety
Presence+ is not an emergency service. If you or someone else is in danger, call or text 988 in the United States, or your local emergency number. If something you share through the Services indicates that you or another person may be at risk of serious harm, a helper or coordinator may contact you, involve another helper, or contact emergency services, and we may disclose the information needed to do that.
Health information and HIPAA
Most of what happens in Presence+ is not medical care: it is accompaniment by trained lay helpers, ministers and coaches, and the information about it is protected by this policy and our contracts. Where a licensed clinician provides care through our platform, that clinician is a covered entity under HIPAA, Mindspirit LLC acts as the clinician's business associate, and the clinician's notice of privacy practices governs those records. We treat outcome measures and requests for help as sensitive information under this policy whether or not HIPAA applies to them.
Your choices and rights
You can see and change your account and profile information in the Services. You can decide, relationship by relationship, what a helper sees. You can turn off notifications in the app or by following the instructions in a message. You can ask us for a copy of your information, ask us to correct it, or ask us to delete your account and the information connected to it; to delete your account, use the account settings in the app or write to the address below, and we will complete the deletion within thirty days except for records we must keep by law or to resolve a dispute. If you live in California, the European Economic Area, the United Kingdom or another place with a privacy law that gives you rights, we honor those rights on request, and we will not treat you differently for exercising them.
Keeping it
We keep your information for as long as your account is open and for a reasonable period after, so that a person who returns to a community finds their history, and then we delete or de-identify it. Outcome measures and helping relationships are kept as part of a community's record for as long as the community uses the Services, because the whole point of the record is that it follows a person over time. You can ask for earlier deletion at any time. Backups are deleted on a rolling schedule.
Security
We protect information with encryption in transit and at rest, access controls that limit each helper and coordinator to what their role and your consent allow, audit logs, and regular review. No system is perfectly secure; if we learn of a breach that affects you, we will tell you and the authorities as the law requires.
Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from them. A community may enroll a young person between 13 and 18 only with a parent's or guardian's consent and under its own youth-protection policy; in that case the community, not Presence+, is responsible for that consent. If you believe a child has given us information without consent, write to us and we will delete it.
Where it is processed
We are based in the United States and process information here. If you use the Services from elsewhere, your information is transferred to the United States, where privacy laws may differ from those of your country.
Changes
When we change this policy we will post the new version here with a new effective date and, for changes that matter, tell you in the Services or by email before they take effect.
